INVENTORY AND LINEAGE / PRACTICAL FIELD NOTE

A data catalog is not the same as knowing what you have.

Choose practical inventory fields, confirm owners and connect important assets to uses before buying catalog software.

An engraved catalogue, source layers and magnifier; a metaphor for knowing what information exists.
CONCEPTUAL ENGRAVING / DATAGOVERNANCE.CA

Practical information and fictional examples for scoping, not claims of client work, measured results, independent assurance or certification.

Start with the smallest useful inventory

Identify the data needed for a specific recurring decision. Include asset name, business purpose, business owner, steward, technical system, classification and known downstream uses. Avoid cataloging hundreds of obscure tables before the team can identify who may approve a metric definition. A spreadsheet can be a useful starting place when the first domain is limited.

Differentiate technical metadata from business meaning

A technical catalog can discover columns, data types and source relationships. It may not know what “customer”, “active”, “closed” or “available” means in a particular decision. The business owner must explain and approve those meanings. Record the confidence and evidence supporting a relationship rather than presenting inferred lineage as verified.

Document change triggers

Choose events that cause a review: new integration, vendor transition, report definition change, access reconfiguration or data disposal. Assign the update role and evidence. A catalog that is refreshed technically but never checked against actual business use can become another polished but untrusted inventory.

Evaluate a platform against the job

Ask whether the organisation needs automated scanning, sensitive-data discovery, stewardship workflows, dataset search, lineage, integrations or audit support. Test those needs against permissions, ownership and maintenance costs. Do not move the whole information estate into a tool merely to satisfy a vendor demonstration. Successful adoption means people can find, understand and act on the information they need.

QUESTIONS BEFORE DECIDING

What buyers usually ask

Will a catalog make our data AI-ready?

Not on its own. Source permissions, accuracy, currency and intended AI use still require assessment.

Do we need enterprise software?

Only if the demonstrated need and operating ownership justify it.

NEXT PRACTICAL STEP

Start with one decision, not a platform purchase.
